1. Data controller

Botomatico LLC, a limited liability company organized in the United States of America, is the controller of the data described in this Policy. Contact: info@botomatico.com.

2. Information we collect

• Contact and identification data: name, email address, phone or WhatsApp number, company and role, which you provide when creating an account, booking a demo, contacting us or purchasing a service.
• Account data: login credentials, profile preferences, business information and product settings.
• Service usage data: appointments, availability calendars, names and contact details of your customers or residents, messaging conversations managed from the CRM and related notes. For this data you are the controller and Botomatico acts as a processor on your behalf.
• Billing data: name or company name, country, tax ID where applicable and payment history. Card details are handled by Stripe (section 4).
• Technical and usage data: IP address, browser, operating system, device identifiers, pages visited and interactions with the platform.

3. How we use information

• Provide the contracted service: manage accounts, schedules, appointments, conversations and automations.
• Send confirmations, reminders and notifications by email or WhatsApp on behalf of the business using our products.
• Process payments, issue invoices and manage subscriptions, refunds and failed charges.
• Handle demo requests, technical support and sales inquiries.
• Ensure security, prevent fraud and maintain platform performance.
• Measure the use of the site and applications and the results of our campaigns.
• Comply with legal, accounting and tax obligations.

4. Payments and billing data

Payments for our plans and projects are processed by Stripe, Inc., a PCI DSS-certified payment provider. When you make a payment, Stripe directly receives your name, email, country and the payment data needed to execute the charge, prevent fraud and calculate applicable taxes.

Botomatico does not store your full card details. We only keep a Stripe customer identifier, the last four digits, the card brand and the expiry date, in order to show you your payment method and manage renewals. You can update or remove your payment method from the Stripe billing portal linked in our emails.

Stripe processes your data under its Privacy Policy and may transfer it to the countries where it operates, with the corresponding legal safeguards.

5. Sharing with third parties

We do not sell or rent your personal data. We share it only with the providers needed to operate the platform, under confidentiality and data-protection agreements:

We may also disclose data when required by law or a competent authority, or to protect our rights and the safety of users.

6. Meta platform data (WhatsApp, Instagram and Messenger)

Our products connect to Meta platforms through their official APIs. When a business enables these integrations, we process only the data needed to deliver the service: phone numbers or profile identifiers, message contents and conversation metadata. This data is used solely to route, automate and display conversations on behalf of the business you are talking to, is never sold, and is retained only while the integration is active. Our use of information received from Meta complies with the Meta Platform Terms.

Any user who has interacted with a business through our integrations may request deletion of their data by following the instructions on our data deletion page.

7. Retention and deletion

• We keep your data while your account is active and, afterwards, for as long as needed to meet legal, accounting or tax obligations (billing records are kept for the period required by law).
• When an account is deleted, your customers' contact data and the associated appointments or conversations are permanently erased within 30 days.
• WhatsApp message logs may be kept for up to 90 additional days for technical support, and are then deleted.
• When you disconnect Google, we immediately revoke our access to your calendar; events already created remain in your Google Calendar.
• Demo and contact requests are kept for up to 12 months unless they turn into a business relationship.

8. Security

We apply technical and organizational measures in line with industry standards: encryption in transit (TLS), access controls, activity logs, backups and secure storage. No system is infallible; if we detect an incident affecting your data, we will notify you as required by applicable law.

9. Your rights

You may at any time exercise your rights of access, rectification, erasure, objection, restriction and portability by writing to info@botomatico.com from the email associated with your account. We will respond within 30 days at most. If you are an end customer of a business that uses our products, you may contact that business or us; in the latter case we will coordinate the response with them.

10. Cookies and analytics

On botomatico.com and our product sites we use minimal functional cookies and the following measurement tools:

Inside the applications, usage events are tied to an internal account identifier, never to your name, email, phone or appointment data. You can opt out of measurement with the Google Analytics opt-out add-on or by blocking and deleting cookies in your browser.

11. Minors

Our services are aimed at businesses and professionals. We do not knowingly collect data from anyone under 18. If you believe a minor has provided us with data, write to us and we will delete it.

12. Changes to this policy

We may update this Policy to reflect legal, technical or service changes. We will publish the current version on this page with its update date and, if the change is significant, notify you by email.
